Bette: I always wrote as though they were my own child, or brother or sisterspoke about home , shared our favorite foods and I always asked about their friends and comrades.

Lisa: Wrote a bit about my life. Thanked him, let him know how proud I was of his service, told him to extend it to all. Asked if there was ANYTHING I could do for him and his family. Turns out we are both Pastry Chefs and have rescue animals. So now we have so much to write back and forth about! Letter writing is a lost art which makes it so special.

Pamela: Be positive, encouraging, definitely send hope. Let them know people will be here supporting them when they get home. Ask if there are any special wishes they would like granted while they are there.

Tracy: You dont always have to know what to write. Sometimes short and sweet is the way to go! Taking 5 minutes to thank them and letting them know you are praying or thinking of them

Cathy: Keep it positive! Tell a little about yourself and thank them. I have written lots of letters and write just like I would talk. The main thing is, keep it light hearted, upbeat, and non-political.

Elise: I start off by offering my thanks for their service. I then explain to them how long Ive been adopting/penpal and what it means to me. Then I write a short paragraph about myself. I then write a few generic questions for conversation starting. I close with an encouraging quotation. Thats my standard first letter.

You inspire me every day even though we are apart.

    • If youve just joined the military and youre still stepping on eggshells over how to speak to officers, dont worry. All of this will all become second nature soon enough.
    • 2Use sir or maam if theyre addressing you directly. If an officer is talking directly to you and theyre asking you a question or waiting for a response, be sure to throw a sir or maam in there. You can start or end the sentence with one of the terms depending on the flow of the sentence. This a sign of respect and you may run into trouble if you talk to an officer too casually.XResearch source
    • For example, you might say, Sir, the barracks have been cleaned, or, The barracks have been cleaned, sir. Both are acceptable.
    • Avoid using sir or maam more than once in a sentence. Aside from the fact that it sounds a little odd, its seen as a faux pas to overdo it.XResearch source

Talking To Military As A Civilian

    • 1Greet military members using their proper title if you know it. If you know a service members rank, use their title of address to talk to them. It is not considered rude or disrespectful to use military terminology when youve never served. In fact, its a sign of respect!XResearch source
    • For example, you might say Good morning, Major Stevens, or, How are you doing, Sergeant Jameson?
    • 2Use sir or maam if you dont know their rank or title. If you arent sure what the service members rank is, just use the formal sir or maam. Skip the first and last names if you do this. This a sign of respect for service members, probably because its the same rule service members use to talk to outranking officers. You can always ask a service members official rank later if youre chatting with them.XResearch source
    • For example, if youre standing in line at the bank or something and theres a uniformed service officer standing next to you but you dont know their rank, theres nothing wrong with saying, How are you doing, sir?
    • 3Dont salute before you address a service members. There are rules surrounding saluting when service members address officers, but as a civilian you dont need to do this. Some service members may look at it as a sign of respect, but it isnt expected of you.XResearch source

      Writing Letters And Emails

    • 1Use the ranks shorthand when addressing letters to service members. If youre addressing a physical letter to a service member, you dont have to spell out the entire title in the body of the message or on the envelope. In these cases, use the shorthand. The official shorthands do not always correlate to the title of address, so look it up online if you arent sure.XResearch source
    • For example, a brigadier generals title of address is just General, but their abbreviation is Brig. Gen. If you were to write a letter to a brigadier general named Jay Brooke, you would write, Brig. Gen. Jay Brooke.
    • Titles with first or second in them typically use the number for the abbreviation. A first lieutenant, for example, is abbreviated as 1st Lt.
    • You can use whatever subject line youd like if youre emailing a service member.
    • 2Include the unit designation, PO box, and designator on the delivery line. For letters, you do not include the country or city where the service member is located. You do include the ZIP code, though. There are a few unique things you must put on the delivery line to make sure the letter reaches its recipient.XResearch source Heres how it looks:
    • On the line under the shorthand rank and recipients name, put UNIT, CMR , or PSC followed by that destinations number. On the same line, write BOX followed by the PO box number.
    • On the bottom line, put APO or FPO , followed by AA and the ZIP code.
    • All together, it should look like this:
