Military personnel records can be used for proving military service, or as a valuable tool in genealogical research. Most veterans and their next-of-kin can obtain free copies of their DD214 and other military and medical records several ways.

Write A Letter To Request Records

If you are not able to obtain a SF-180, you may still submit a request for military records. Requests must contain enough information to allow us to identify the record from among the more than 70 million on file at the National Personnel Records Center . For example, if you are requesting an Official Military Personnel File , please include as much of the following information as possible:

  • The veteran’s complete name used while in service
  • Branch of service
  • Dates of service
  • Date and place of birth may also be helpful, especially if the service number is not known
  • If the request pertains to a record that may have been involved in the 1973 fire, also include:
  • Place of discharge
  • Last unit of assignment
  • Place of entry into the service, if known.

Please submit a separate request for each individual whose records are being requested.

Please Note: Next-of-kin must provide proof of death of the veteran, such as a copy of the death certificate, a letter from the funeral home or a published obituary.

Why Is A Dd214 Important

The Report of Separation contains information normally needed to verify military service for benefits, retirement, employment, and membership in veterans’ organizations. Information shown on the Report of Separation may include the service member’s:

  • Date and place of entry into active duty
  • Home address at time of entry
  • Date and place of release from active duty
  • Home address after separation
  • Last duty assignment and rank
  • Military job specialty

One important note about the DD214 is that the government issues two versions of the form:

  • Short form
  • Long form

The difference between the two is that the long form contains information about the service members discharge. That could include a narrative about the situation surrounding the discharge and a grade that rates the discharge in a positive or negative light. You Need A Replacement Dd214 Because The Original Is Lost Damaged Or Destroyed

This is a bigger problem. If you have gone to the VA, the military service branch and the NPRC, and they have told you that your original DD214 is lost, damaged, or destroyed, then you truly do need to request a replacement DD214. These requests are handled by the Human Resources Command or Personnel Services Detachments of the Army, Navy, Coast Guard, Air Force and Marine Corps. Getting a replacement DD214 from the service can take anywhere from 6-18 months.If your military personnel file is at the National Personnel Records Center in St. Louis you may have a faster option. The NPRC is authorized to create an official document, called a Certification of Military Service, which can be used as a legal replacement for lost, damaged or illegible DD214s. If you are in a bind and need a replacement DD214 quickly, to apply for a loan, or to seek medical treatment, your best bet is apply for a replacement DD214 through the NPRC. In many cases they can create the official, replacement DD214 within 4-6 weeks and you will be on your way. There are several DD214 expeditors in St. Louis, who may be able to visit the NPRC on your behalf, and get the replacement DD214 created even faster. The best advice is to keep your original copy of your DD214 safe and secure, so that it is always available for you when you most need it.

    At the time of this writing, paper copies of DD Form 214 and Guard/Reserve equivalent paperwork is still required to be issued and provided-or an electronic version of the original paperwork-in order to get services and benefits. The DoD commissioned the Rand Corporation to study the DD 214 process, and the results of that study favor an electronic version of the retirement/separation document.

    If the service member was discharged MORE than 62 years ago then the record is publicly available, and anyone can request it. A person can even visit the NRPC in person to request the records.     A veteran or a duly appointed representative may file a “REQUEST FOR DISCLOSURE OF DISCHARGE PAPERS” designating an individual to have access and/or obtain copies of exempted military discharge papers.     Dd Form 214 And Veteran Funeral Cremation And Burial Benefits

    The VA provides a number of funeral benefits for vets, but you need the DD214 to access them. In some cases, you might need to expedite a copy of the form to receive the benefits in time, though its still possible you could wait six to eight weeks. One way around the issue is to work with your provider to schedule a memorial service following a cremation or burial. Memorial services are less time-sensitive, allowing families to include appropriate vet-related benefits in a service after the form is received.

    In some cases, vets might have an equivalent form that provides the same information as the DD214. This is especially true for service members who were discharged before 1950 even after 1950, other forms were in circulation that detailed discharge status and military service, such as the War Department Adjutant General Office Form 53-55.

    If youre planning ahead for end-of-life matters and you havent been discharged from the military yet, you obviously wont have a DD214. You can provide a copy of your military ID or other proof that you are active-duty military to the funeral provider youre working with.

    How To Obtain Standard Form 180 To Request Military Service Records

    There are several ways to obtain an SF-180. You can:

  • Download and print a copy of the SF-180 in PDF format.
  • You need access to a printer and the Adobe Acrobat Reader software . The form is a total of 3 pages.
  • The SF-180 is formatted for letter size paper . If your printer cannot accommodate this, select “shrink to fit” when the Adobe Acrobat Reader “Print” dialog box appears.
  • This is also a fillable version of the SF-180. It will allow you to type the needed information into the form using your keyboard. You will still need to print, sign and mail the form. Otherwise, it works the same as stated above.
  • Please Note: While Section II, Paragraph 1 of the Standard Form 180 outlines multiple types of records that may be available to the requester, the DD Form 214 is the most common document necessary to obtain most veteran’s benefits.
